Procedure Rule 21

21. GENERAL PROCEDURES RELATING TO PROCEDURE RULES 16 (GENERAL QUESTIONS), 17 (PUBLIC QUESTION TIME), 18 (QUESTIONS ON THE DISCHARGE OF THE FUNCTIONS OF THE DORSET POLICE AUTHORITY AND THE DORSET COMBINED FIRE AUTHORITY), 19 (QUESTIONS ON REPORTS OF THE CABINET, A STATUTORY BOARD OR A SCRUTINY AND REVIEW PANEL), 20 (QUESTIONS ON MATTERS THAT HAVE BEEN DETERMINED UNDER DELEGATED POWERS BY THE CABINET, A STATUTORY BOARD OR A SCRUTINY AND REVIEW PANEL).

(1) The minutes of Council meetings shall record the name of the person asking the question, the subject and the name of the person answering the question.

(2) A copy of the written reply to the original question only shall be given to the person asking the question as a matter of course. To assist this process suggested replies to

questions should be prepared in writing by the appropriate Director or Head of Business Unit and then the final text agreed with the Members giving the replies prior to the start of the Council meeting.

(3) Replies to questions on complex/technical issues should be restricted to a plain English summary with an offer being made to provide a separate comprehensive written response to the person asking the question.
